Position Summary
The Shuttles and Rental Coordinator manages all communication, scheduling, and customer service for Wheelzup’s shuttle and rental operations. This role involves direct interaction with customers, coordination of schedules, creation of service quotes, and collaboration with drivers and front-of-house staff to ensure exceptional service delivery.
This position is full-time with flexible scheduling and is ideal for someone who enjoys managing logistics, solving problems on the fly, and working in a purpose-driven outdoor business.
Key Responsibilities
- Serve as the primary point of contact for all shuttle and rental inquiries via phone, email, and text.
- Provide accurate quotes and manage bookings for individuals, families, and groups.
- Coordinate multi-service packages with partner outfitters and organizations.
- Maintain and update online booking systems (Square Appointments, Peek Pro, etc.).
- Communicate regularly with shuttle drivers regarding route schedules and availability.
- Coordinate changes or exceptions with front-of-house staff and ensure operational awareness.
- Handle invoicing, billing, and payment confirmations with accuracy and professionalism.
- Track driver availability and schedule assignments to avoid conflicts.
- Use spreadsheets (Google Sheets, Excel) to organize data and monitor logistics.
- Maintain high standards of communication and service quality in every customer interaction.
Required Qualifications
- Proven customer service or logistics experience in a fast-paced environment.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication abilities.
- Confident using computer-based systems and SaaS platforms.
- Proficiency with spreadsheets and cloud-based tools (Google Workspace, Excel).
- Ability to multitask, prioritize, and problem-solve in real time.
Preferred Qualifications
- Experience in tourism, hospitality, outdoor recreation, or transportation coordination.
- Familiarity with booking or scheduling software (Square Appointments, Peek Pro, or similar).
- Comfort working seasonally flexible schedules (weekends during high season).
